TeeTracker

The golf tour, without the spreadsheet

TeeTracker is an online system for multi-day golf tours. The scores, the pairings, the tee sheets and the leaderboard all work on their own, and you run the whole thing from your phone on the course. This page explains what it does and how a tour is set up.

What it was built for

The system was built for the ATKV Klein Kariba Bosveld Gholftoer and ran its first full tour in May 2026: 252 registered players, four rounds across four courses, split into groups, playing in two-player teams. Everything that used to live in a spreadsheet ran through the system instead.

This is not club software. It is built for a tour, where the same players play together over several days on different courses, with a leaderboard that carries across all of them.

See it working

The demo below runs on the real 2026 tour data. No password is needed to look around: the sign-in page has a spectator button that opens the live standings in one click.

What the system does

Players and teams

Your final player list imports straight from your own spreadsheet: name, handicap, club, mobile, email and shirt size. Teams, groups and two-balls or four-balls are built from it.

Tee sheets

Pairings are generated automatically and avoid the same teams playing together day after day. Shotgun start or staggered tee times, per group and per day, with a printable PDF for the course.

Score entry

Scores go in per team and per player, with the day's format built in, for example betterball stableford. The screen shows whose cards are still outstanding, so nobody gets forgotten.

Live standings

Team and individual leaderboards, for a single day or across the whole tour, with a daily breakdown. You switch the public leaderboard on and off yourself.

Welcome packs

Check-in at the registration desk, with shirt sizes ordered against sizes issued and live stock counts per size, so a size is never over-allocated.

Statistics and results

Averages per course and per group, best round, best points, and an export to spreadsheet for the prize giving and for your own records.

Audit trail

Every change to a score is stored with who made it and when. If somebody asks at the prize giving how a score changed, the answer is on the screen.

Afrikaans and English

The whole system is available in both languages and each user picks their own. It runs in any browser on a phone or tablet, with nothing to install.

Who sees what

Everyone gets their own sign-in, and the system shows each person only what fits their role.

RoleWhoWhat they can do
Administrator You Everything: players, teams, courses, rounds, tee sheets, scores, users, and switching the public leaderboard on and off.
Organiser Your tour team Enter and correct scores, view and print the tee sheet, help players at the desk, manage their group's teams.
Player Entrants See their own card and position, and where you allow it, enter their team's scores on the course.
Spectator Family and guests The live leaderboard, and only while you have it switched on.

How a tour is set up

Eight steps, and most of the work sits on our side. The timings below are measured back from the first tee shot of the tour.

  1. Approval and purchase order At least two weeks before the tour

You accept the quote in writing and send the purchase order number. We invoice the deposit the same day. Nothing else starts before this step.

  2. We set up the resort and the courses Two working days

We set your resort up on the system with your branding, and capture each course: the par and stroke index of every hole, the rounds, the formats and the tee times. All we need is a photo or a PDF of each course's scorecard, we type it in ourselves.

  3. You send the final player and team list About a week and a half before the tour

In your own spreadsheet, exactly as it is. We fit around your format, retyping it is not your job. The columns that help are listed below.

  4. We import the list and you check it One working day

We import the players and teams, check every handicap and every team against your list, and send you a link to look through yourself before anything is printed.

  5. Training About a week before the tour

Forty-five minutes, online, for you and the organisers who will work on the day. Signing in, pulling and printing the tee sheet, entering scores, correcting a mistake, and switching the leaderboard on and off. You also get a short written guide.

  6. Dress rehearsal Two to three days before the tour

Day one's tee sheet is generated and approved by you, and we play a few test scores through the system and then wipe them. After that nothing changes.

  7. The tour itself Every day of the tour

Report anything that goes wrong on WhatsApp or by email and we resolve it to the best of our ability. It is included in the fee and it is not a ticket system. The system is supported remotely; the organisers stay in control on the course throughout.

  8. After the tour The day after the last round

Final standings, the results for the prize giving, and a copy of all the data for your own records. Next year's tour starts with the same players already on the system.

What we need from you

Four things, and you probably already have three of them.

WhatWhenIn what form
Course details At setup Each course's scorecard, as a photo or PDF. We take the par and stroke index of every hole off it.
Organisers At setup Name, email and mobile number for everyone who needs to enter scores or change the tee sheet.
Branding At setup The resort logo and the tour logo, preferably PNG on a transparent background. They appear on the system and on every printout.
Player and team list About a week and a half before the tour Excel or CSV. One row per player, and two players sharing a team number make a two-ball.

The columns in the player list

  • Required: first name, surname, handicap (one decimal, for example 14.3) and team number.
  • Useful: club, mobile, email, shirt size, and whether the player is affiliated to GolfRSA.
  • Optional: playing-partner requests, or anything else the tee sheet should respect.

Send the list early and incomplete rather than late and perfect. A draft version lets us test the import while there is still time to find mistakes, and last changes can go in up to the evening before the first tee shot.

Information and privacy

The player information you send us is used only for your tour. It is hosted with a recognised provider, it is not shared, sold or used for marketing, and after the tour you get a copy in a format you can keep yourself. Ask for it to be deleted and it is deleted.

The system runs per tour. Between tours the platform comes off the server with a full, verified backup, which is why a resort carries no hosting cost outside tournament season. On a confirmed booking it is live again within two working days, with the previous tour's data intact.
